Your privacy matters to me. This policy explains how I use personal information when you contact Jacqui Miller Fitness, visit this website or train with me.
Who is responsible for your information?
I am Jacqui Miller, a sole trader trading as Jacqui Miller Fitness, and the data controller for this business.

Information I collect
You provide information when you enquire, book or take part in training, complete an intake form, sign an agreement or subscribe to emails. This can include your name, contact details, goals, messages, booking and payment records, training notes and relevant health or injury information. Signed agreements may include your signature.
Please do not send detailed medical information through the general website enquiry form. Relevant health information can be discussed separately as part of your intake.
The website and its providers may also process technical information such as your IP address, device and browser details, pages visited and interactions. See the cookie policy for more information.
Why I use your information
- Enquiries, bookings and training: to take steps you request before entering a contract and to provide the agreed services.
- General correspondence, security and administration: my legitimate interests in responding to questions, protecting the business and maintaining appropriate records.
- Financial and other legally required records: to meet legal obligations.
- Marketing emails, photographs and published testimonials: your consent where I ask to use your information for these purposes.
Providing information is your choice. Without contact details I may be unable to reply; without information needed to arrange or safely plan training, I may be unable to offer a particular service.
Health information
Health information has additional protection under data-protection law. I ask for explicit consent to record and use relevant health information when planning your training. This is separate from marketing consent. You can withdraw consent by contacting me, although this may affect whether I can continue to provide suitable training.
Where records need to be retained for establishing, exercising or defending legal claims, the applicable legal-claims condition may support that retention. Withdrawing consent does not make earlier lawful processing unlawful.
Website enquiries
When you send an enquiry, I receive an email notification and store your name, email address, mobile number and message in Klaviyo to respond and keep a record of our correspondence. Each message is stored with its submission date. This happens whether or not you choose marketing emails. Sending an enquiry does not subscribe you to marketing or change an existing subscription preference. Please do not include medical or other sensitive health information in this form.
Marketing emails
I use Klaviyo to manage email subscriptions and send occasional inspirational stories and offers to people who choose to receive them. Signing up is optional and is not a condition of enquiring or training with me. You can unsubscribe using the link in an email or by contacting me.
Klaviyo can process delivery, opening and link-click information where tracking features are enabled. Any website-tracking features are described in the cookie policy. Client health and intake records are kept separately in Notion, rather than used as marketing content.
Service providers and sharing
I use Notion for client intake records, Klaviyo for enquiry records and optional marketing emails, Hosting.com for website and email hosting, Google Analytics 4 for website statistics, and Google Search Console for search-performance reports. Providers process information needed to supply their services.
Information may also be shared when necessary with professional advisers, insurers or authorities to meet legal obligations or handle a claim. I do not sell your personal information.
Processing outside the UK
Cloud services may process information outside the UK, including in the United States. Provider data-processing terms describe the applicable transfer arrangements, which can include recognised adequacy arrangements and approved contractual safeguards with UK provisions. You can contact me for information about the safeguards relevant to your data.

How long I keep information
I retain client intake records, relevant health information, training records and signed agreements for six years after our client relationship ends. I then securely delete them, unless a legal requirement or an ongoing claim requires longer retention.
For enquiries that do not become a client relationship, I retain information only while it is needed to respond, manage agreed follow-up or resolve a dispute. Financial records are kept for the applicable statutory period. Marketing details are kept while needed for your subscription; a minimal suppression record may be retained after you unsubscribe to respect your preference.
Technical logs and backups are retained according to their security, recovery and operational purpose. I review whether information is still needed and remove it when that purpose ends, subject to applicable legal requirements.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction of use or a portable copy of your information. You can withdraw consent at any time by contacting me.
You can object to processing based on legitimate interests. You can object to direct marketing at any time.
To make a request or raise a concern, please use the contact details above. I may need to verify your identity before releasing personal information. You also have the right to complain to the Information Commissioner’s Office, the UK data-protection regulator.
Updates
I will update this policy when my services or use of personal information change. The date at the top shows when it was last updated.
